Job Title: Ordering Staff

Reports to: Logistics Manager

Job Summary

• The Ordering Staff is responsible for accurately processing and coordinating supply and inventory orders to ensure timely availability of ingredients, packaging, and other materials essential to daily operations. This role works closely with suppliers, warehouse, commissary, and purchasing teams to ensure the proper flow of goods within the supply chain.

Key Responsibilities:

• Prepare, process, and monitor purchase orders (POs) for raw materials, packaging, and other inventory items needed for production and branch operations.
• Coordinate with suppliers to confirm order availability, pricing, lead times, and delivery schedules.
• Track and follow up on deliveries to ensure timely arrival and accurate quantities.
• Monitor stock levels in coordination with warehouse and commissary to prevent shortages or overstocking.
• Assist in maintaining and updating the order tracking system and vendor records.
• Address and resolve issues related to delayed deliveries, incorrect items, or quantity discrepancies.
• Collaborate with the logistics, inventory, and procurement teams for proper planning and timely fulfillment.
• Provide daily/weekly reports to the Logistics Manager regarding order status and vendor performance.
• Follow standard operating procedures (SOPs) related to ordering, documentation, and record-keeping.
• Assist in periodic supplier evaluation based on delivery accuracy, timeliness, and responsiveness.
• Support internal audits by providing accurate order records and documentation.
• Perform other duties as may be assigned by the Logistics Manager.
