الوصف

  • Administrative Support:
  • Manage and prioritize the executive’s schedule, appointments, and meetings.
  • Coordinate travel arrangements, including flights, accommodations, and itineraries.
  • Prepare and organize documents, reports, and presentations for meetings.
  • Communication Management:
  • Screen and direct phone calls, emails, and other communications.
  • Draft, proofread, and send correspondence on behalf of executives.
  • Serve as the point of contact between executives, employees, and external partners.
  • Project Management:
  • Assist in coordinating and tracking project progress, deadlines, and deliverables.
  • Maintain project files, budgets, and timelines.
  • Collaborate with teams to ensure smooth execution of business initiatives.
  • Meetings & Events:
  • Organize and facilitate meetings, conferences, and company events.
  • Take meeting minutes and follow up on action items.
  • Prepare meeting agendas and ensure all necessary materials are ready.
  • Financial Support:
  • Manage and track expenses, invoices, and budget reports.
  • Process reimbursements and assist with financial record-keeping.
  • Research & Data Analysis:
  • Conduct market research, gather data, and prepare reports.
  • Provide data analysis and insights to support business decision-making.
  • Confidentiality & Compliance:
  • Maintain confidentiality in handling sensitive business information.
  • Ensure compliance with company policies and procedures in daily operations.
  • Office Management:
  • Oversee office supplies and inventory management.
  • Ensure the smooth day-to-day operations of the office environment.
  • Problem Solving & Decision Support:
  • Act as a trusted advisor, providing solutions and managing challenges.
  • Handle time-sensitive tasks with urgency and discretion.
  • Client Relations & Networking:
  • Build and maintain strong professional relationships with clients and stakeholders.
  • Coordinate networking events, client meetings, and follow-ups.

المتطلبات

  • Experience:
  • Proven experience as an Executive Assistant, Business Assistant, or in a similar administrative role.
  • Experience in office management, project coordination, or executive support.
  • Technical Skills:
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with project management software (e.g., Asana, Trello, or Monday.com).
  • Experience with calendar management tools and video conferencing software (e.g., Zoom, Teams).
  • Organizational Skills:
  • Strong time management skills and the ability to multitask and prioritize tasks effectively.
  • Attention to detail and a high degree of accuracy in work.
  • Ability to manage multiple tasks and deadlines simultaneously.
  • Communication Skills:
  • Excellent verbal and written communication skills.
  • Strong interpersonal skills and ability to interact with all levels of the organization.
  • Ability to draft and proofread correspondence and presentations.
  • Problem-Solving:
  • Strong critical thinking and problem-solving abilities.
  • Ability to handle confidential and sensitive information with discretion.
  • Adaptability:
  • Ability to work in a fast-paced and dynamic environment.
  • Flexibility to adjust to changing priorities and demands.
  • Technical Aptitude:
  • Comfortable with using various office technologies, including smartphones, printers, and other office equipment.
  • Ability to learn new software and tools quickly.
