Description

The HR Assistant will support day-to-day HR operations with a strong focus on government statutory remittances and HR administrative tasks. The role ensures timely and accurate processing of employee records, government contributions, and compliance-related documentation.


Key Responsibilities

  • Reconcile and clear backlogs in government remittances (SSS, PhilHealth, Pag-IBIG, BIR), including validation of contributions against payroll records
  • Prepare and maintain reconciliation schedules, variance reports, and supporting documents for audits and compliance
  • Use Excel formulas and tools (e.g., VLOOKUP/XLOOKUP, pivot tables, basic formulas) to validate data, identify discrepancies, and generate summaries
  • Consolidate data from multiple sources (payroll files, government records, HRIS) into clean and accurate reports
  • Update and organize employee records and 201 files related to remittances and statutory benefits
  • Coordinate with internal HR, Payroll, Finance, and third-party vendors to resolve missing or incorrect records
  • Ensure confidential handling of employee data and proper documentation of completed backlog items
  • Provide regular status updates on backlog progress and completed deliverables
  • Draft and update process document upon the completion of backlog for process continuity.
  • Administrative tasks such as creation of ID, scheduling of APE and ECU, processing of billing, etc.


Qualifications:

1. Hands-on Experience with Government Compliance (Non-negotiable)

  • Proven experience processing and reconciling:
  • SSS, PhilHealth, Pag-IBIG, and BIR remittances
  • Familiarity with: Late payments, penalties, and backdated remittances
  • Government portals and validation files (e.g., SSS R3/R5, PhilHealth RF-1, Pag-IBIG MCRF, BIR alphalist, E-Gov Payment)


2. Strong Reconciliation and Audit Skills

  • Ability to:
  • Compare payroll vs. government postings
  • Identify gaps, missing months, or incorrect employee records
  • Prepare recon schedules and variance reports


3. Advanced Excel / Data Handling

  • Required skills:
  • VLOOKUP / XLOOKUP, Pivot
  • tables, basic formulas for validation and summaries


4. High Attention to Detail and Confidentiality

  • Proven ability to:
  • Handle employee data securely
  • Maintain clean documentation and filing
  • Avoid compounding existing errors


5. Ability to Work Independently with Minimal Supervision

  • Can follow SOPs, prioritize tasks, meet tight deadlines


6. Immediate Availability and Short-Term Mindset

  • Ready to start quickly, focus on deliverables, not career progression


Required Knowledge:

  • Basic handling of government contributions (SSS, PhilHealth, Pag-IBIG)
  • Ability to navigate government portals/sites


Nice-to-Have (But Not Required)

  • Experience in HR shared services or outsourced HR providers
  • Familiarity with Sprout HRIS/payroll systems
  • Prior work on backlog recovery projects or post-audit cleanups
