We are looking for Administrative Assistant who is organized, proactive, trustworthy, and comfortable working in a fast-paced restaurant environment. To be assigned in our office in Tomas, Morato QC!
KEY RESPONSIBILITIES
1. Executive & Administrative Support
• Manage the Co-Owner’s calendar, meetings, and daily priorities
• Prepare reminders for deadlines, deliveries, and payments
• Draft letters, memos, emails, and internal communications
• Organize and maintain digital and physical files (contracts, permits, supplier records)
• Coordinate travel, errands, and personal business matters as needed
2. Restaurant Operations Coordination
• Liaise between management, kitchen, and service teams
• Track daily operational concerns and escalate urgent matters
• Monitor branch maintenance requests and follow-ups
• Assist in scheduling staff meetings and trainings
• Help consolidate daily sales and operations reports
3. Supplier & Purchasing Assistance
• Communicate with suppliers for orders, quotations, and deliveries
• Track purchase orders and delivery schedules
• Maintain supplier database and price lists
• Assist in canvassing for new suppliers and services
• Monitor inventory concerns reported by branches
4. Basic Finance & Documentation
• Record and track expenses, reimbursements, and petty cash
• Assist in preparing payment requests to accounting
• Organize invoices, receipts, and billing documents
• Help prepare payroll-related documents and timesheets
• Maintain permit renewals and government compliance files
5. Customer & Marketing Support
• Respond to inquiries from clients, partners, and event bookings
• Assist in reservations coordination and private event requests
• Support social media posting and coordination with marketing
• Help manage customer feedback and follow-ups
6. Confidential & Personal Assistance
• Handle sensitive business information with discretion
• Assist in personal errands related to business operations
• Serve as the Co-Owner’s point person for internal concerns
QUALIFICATIONS
• Graduate of Business Administration, Hospitality, HRM, or related field
• At least 1 year experience in admin, restaurant, or hospitality setting
• Experience in F&B operations is a strong advantage
• Proficient in MS Office / Google Workspace
• Good communication skills (English & Filipino)

• Strong coordination and follow-up skills
• Trustworthy and able to handle confidential matters
• Basic understanding of restaurant operations
• Customer-oriented and professional attitude
WORK CONDITIONS
• May require occasional branch visits
• Flexible schedule depending on restaurant operations
• Works closely with kitchen, service, and suppliers
• Possible weekend coordination when needed
KEY PERFORMANCE INDICATORS (KPIs)
• 100% on-time coordination of meetings and schedules
• Zero missed supplier follow-ups
• Accurate filing of invoices and permits
• Timely response to inquiries within 24 hours
• Organized documentation system maintained
