1. Sales Support & Coordination

  • Assist the sales team with preparing quotations, proposals, and sales contracts.
  • Coordinate with customers to follow up on orders, deliveries, and outstanding documents.
  • Maintain accurate customer records and update the CRM or sales database.
  • Support sales meetings by preparing reports, presentations, and schedules.


2. Order Processing

  • Process sales orders and ensure accuracy in pricing, product codes, and terms.
  • Coordinate with logistics, warehouse, and accounting departments for order fulfillment.
  • Monitor shipment schedules and ensure on-time delivery.


3. Documentation & Reporting

  • Prepare sales reports such as weekly/monthly sales performance, pipeline updates, and order status.
  • Maintain organized and updated files for contracts, purchase orders, and customer communications.
  • Handle invoice requests and coordinate with the finance team on payments and collections.


4. Customer Service

  • Respond to customer inquiries via email, phone, or chat.
  • Resolve basic customer issues or escalate them to the appropriate department.
  • Build positive and professional relationships with clients.


5. Administrative Tasks

  • Organize and schedule appointments, meetings, and business trips for the sales team.
  • Assist in preparing marketing materials, catalogs, and product information.
  • Manage office supplies and other support needs of the sales department.


Qualification

  • Graduate of Bachelor's degree in Business/ Marketing course
  • Excellent organizational and multitasking skills
  • Above average skills in Business written communication
  • Knowledgeable in creating various sales reports
  • Work closely with the sales team for the consolidation of various Sales Reports
  • With Knowledge in Microsoft applications
  • Monitor sales performance metrics and prepare reports for management
  • Sales administrative assistants type, file, handle mail, answer phones, and perform other jobs critical to office operations.
  • They also process orders submitted by sales reps, check orders for accuracy, and send out invoices.
