Job description:

I. Description

The Admin & Procurement Supervisor leads the People Support (Admin) unit, overseeing the day-to-day administrative, procurement, and facilities support operations. This role is responsible for ensuring the efficient and effective delivery of support services, managing the procurement process for goods and services, maintaining a well-functioning office environment, and supervising the administrative and support staff within the unit. The Supervisor ensures adherence to company policies, manages vendor relationships, optimizes resource utilization, and supports cost-control measures within their area of responsibility.


II. Qualifications and Competency Requirements

Minimum Education and Experience

1. Bachelor's degree in Business Administration, Management, Supply Chain Management, or a related field.

2. Proven experience (typically 3-5 years) in administrative and/or procurement functions.

3. Prior supervisory or team lead experience is highly preferred.

Core Competencies

1. Solid understanding of procurement processes (sourcing, purchasing, vendor management).

2. Knowledge of office administration best practices, including facilities coordination, supply management, and record-keeping.

3. Familiarity with inventory management principles.

4. Basic understanding of budgeting and expense tracking.

5. Knowledge of relevant software (MS Office Suite, potentially procurement or ERP systems).

6. Awareness of basic workplace safety and security protocols.

7. Understanding of data analysis and reporting basics relevant to admin/procurement.


Work Environment

1. The Admin Associate handling the procurement typically works in an office environment but may occasionally be required to visit suppliers or warehouses.

2. Some travel may be required to meet with suppliers or attend industry events.

3. The role may involve handling sensitive or confidential data related to suppliers, pricing, and contracts, requiring adherence to data security protocols.
