POSITION SUMMARY

The Central Document Controller is responsible for managing and maintaining all project-related documentation in accordance with company standards and procedures. This role involves the preparation, organization, transmission, and distribution of project documents to both internal teams and external stakeholders. The Document Controller ensures all documentation is accurate, up-to-date, properly filed, and readily accessible for project teams. Key duties include monitoring document flow, tracking revisions, ensuring compliance with documentation requirements, and supporting project teams with timely access to required documents. Proficiency in Microsoft Office (especially Excel, Word, and Outlook) and familiarity with project data-based programs are essential to effectively carry out the role.

 

SPECIFIC DUTIES AND RESPONSIBILITIES

  1. Prepare, manage, and organize project documents to ensure all project requirements are accurately met and documented.
  2. Transmit and distribute project-related documents to internal teams and external stakeholders as required.
  3. Ensure all documentation is completed, updated, and filed in accordance with company policies and processes.
  4. Maintain an up-to-date and organized document control system to allow easy retrieval and tracking.
  5. Assist in the implementation and monitoring of document control procedures and standards.
  6. Ensure timely retrieval and submission of project documents to meet deadlines.
  7. Support project teams by providing accurate and current documentation.
  8. Coordinate with multiple departments to gather, manage, and distribute relevant project data.

 

QUALIFICATIONS

  1. Minimum of 1 year experience in a Document Control or related administrative/project support role.
  2. Computer literate, with experience using project data-based programs or document management systems.
  3. Proficient in Microsoft Office Suite – particularly Excel, Word, and Outlook.
  4. Willing to be assigned to the Makati Office.

 

KNOWLEDGE AND SKILLS

  1. Excellent organizational and time-management skills.
  2. Strong attention to detail and accuracy.
  3. Good communication and interpersonal skills.
  4. Ability to handle multiple tasks and meet deadlines.
  5. Prior experience in a construction, engineering, or project-based environment.
  6. Familiarity with digital document control platforms (e.g., Aconex, SharePoint, etc.)
